About the Position
The Vice President of Institutional Advancement will work as part of the executive team to create a strong financial foundation for continued growth of the College. The Vice President will lead the planning and implementation of successful national and international fundraising campaigns, including the annual fund, capital and endowment funds, major and planned gifts, donor relations (with an emphasis on high net-worth individuals), and corporate/foundation grant proposals.

The ideal candidate will have a proven record as a leader and a change agent. He/she will take institutional advancement to the next level by significantly increasing funds raised and broadening efforts to include planned giving and corporate/foundation gifts.

He/she will articulate the vision and relevance of Zaytuna College to all constituents.

This is a full-time, exempt position and reports to the President of the College. The title of Vice President or Executive Director will be dependent upon the candidate’s relevant experience.

Responsibilities include and are not limited to

  • Develop and implement a five-year fundraising plan.
  • Lead all fundraising, donor management and engagement activities.
  • Grow the current portfolio of several thousand donors to raise tens of millions of dollars annually.
  • Develop an endowment and capital campaign of approximately one hundred million dollars.
  • Cultivate and engage high net-worth donors.
  • Lead a team of staff, consultants and a network of volunteers.
  • Collaborate with marketing, finance, academic and student affairs departments.
  • Set up processes and metrics to increase efficiency and donor satisfaction.
  • Engage the President and Board of Trustees in fundraising.

Experience and Qualifications

  • Minimum of 7 years in non-profit fundraising in a leadership role.
  • Experience in higher education or non-profit fundraising or institutional advancement is a plus.
  • Proven success in leading multi-year, multi-million dollar fundraising campaigns.
  • Demonstrated leadership in developing a professional team.
  • Familiarity of the American Muslim community is a plus
  • Proficiency in Urdu and/or Arabic is a plus.
  • Bachelor’s degree required; graduate degree preferred.
  • Must have U.S. citizenship or authorization to work in the U.S.

Financial Controller (Full time) Print Favicon

About the Role

This position is a key role in a small but growing mission driven team. The Controller reports to the VP of Operations and Finance and is responsible for the overall management of accounting functions and the provision of financial data and guidance to the College. This includes the monthly financial reporting containing actual versus budgeted analysis, cash flow management and reporting, fund accounting in accordance with GAAP and internal controls. The successful candidate blends strong financial management with an ability to react quickly to changing circumstances, ensuring that the College delivers its financial targets while continuing to focus on operational deliverables and improvements. The Controller will partner with VP of Operations and Finance, VP of Academics and the Institutional Advancement team in driving the College’s financial framework, systems and architecture, including infrastructure to support large volume gift processing. This is an extraordinary opportunity for a mature leader with at least ten years of accounting and finance experience, ideally beginning in accounting and audit, followed by experience supervising team members, gathering, evaluating, presenting and reporting financial information to executive teams and external stakeholders. S/he will ideally have experience in a complex nonprofit that has multiple programs.

Responsibilities include and are not limited to

  • Manage and support accounting team and provide oversight to the day to day accounting operations to the College’s general ledger, periodic financial reporting in accordance with GAAP principles and internal policies
  • Maintain internal control and safeguards for receipt of revenue, costs, and program budgets and actual expenditures
  • Produce and manage fiscal yearend close, reporting, audit, tax filings, legal and compliance matters
  • Treasury Management: Assist leadership team in managing organization cash flow by forecasting
  • Treasury Management: Investigate variances between forecasted and actual and update assumptions to reflect the changes
  • Maintain and update documentation of accounting policies, systems and procedures
  • Advise department managers on the implementation and application of accounting policies, systems and procedures
  • Ensure compliance with federal, state and local legal accounting requirements and related reporting.
  • Assess, document and recommend accounting process improvements
  • Perform analysis of new accounting pronouncements: Be the technical accounting experts within the company
  • Perform analysis of new accounting pronouncements: Keep up-to-date on legal reporting requirements
  • Assist in preparation of presentations to the audit committee and board of trustees
  • Serve as a business partner to various departments, external auditors, legal counsel and executive management
  • Produce monthly financial dashboard for executive management: Consistently analyze financial data and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly, and annual financial statements; monitor progress and changes and keep senior leadership abreast of Zaytuna’s financial status
  • Assist Zaytuna’s leadership in the annual budgeting and planning process; administer and review all financial plans and compare to actual results with a view to identify, explain, and correct variances as appropriate
  • Support the VP in engaging the board’s audit and finance committees around issues and trends in financial operating models and delivery
  • Support all financial, project/program and financial aid accounting; ensure that expenditures are consistently aligned with financial aid and program budgets throughout the aid/fund period; collate financial reporting materials for government, corporate, and foundation grants
  • Manage organizational cash flow forecasting by working in partnership with the department heads; continuously collaborate with department heads to assess the financial efficacy of program operations and establish finance and administrative systems to support program operations.
  • Manage and track the performance of invested assets in keeping with policies and investment guidelines.
  • Leverage strengths of the current finance and accounting team members, help to clarify roles and responsibilities and develop and implement training programs in order to maximize and reach optimal individual and organizational goals.
  • Provide leadership in strengthening internal communications with staff at all levels throughout the organization; create and promote a positive and supportive work environment.
  • Perform annual performance evaluations and set goals for team members. Review goals on a quarterly basis

Experience and Qualifications

  • Experience with QuickBooks Enterprise Solutions and Advanced Microsoft Excel Skills required;
  • Strong knowledge of Office, including Word, PowerPoint and Outlook preferred
  • Donor management software such as Raiser Edge a plus
  • Flexible and creative thinker with ability to define business tradeoffs, generate out of box solutions and manage uncertainty
  • Strong problem solving skills and heads up and extremely proactive in communication
  • Minimum of a BSc in Accounting or Finance; CPA and/or MBA preferred
  • Solid experience coordinating audit activities and managing reporting, budget development and analysis, accounts payable and receivable, general ledger, payroll, and accounting for donations, funds and investments
  • Familiarity with the requirements of Non Profit accounting and nonprofit tax filings such as the form 990 and 199
  • A track record in grants and funds management as it relates to compliance and reporting of government, corporate and foundation grants is essential
  • Keen analytic, organization and problem solving skills which allows for strategic data interpretation versus simple reporting
  • Strong interpersonal and communication skills; experience in effectively communicating key data, including presentations to senior management, board or other outside partners
  • Ability and desire to translate complex financial concepts to individuals at all levels including finance and non-finance managers

  • Enter invoices and bills into QuickBooks software and run checks to pay the bills in a timely manner.
  • Monitor purchase orders and match them with invoices when they are received and confirm management approval for payment.
  • Follow-up as needed with vendors via phone, email and letters
  • Prepare and send tuition and housing invoices to students and ensure they are entered into the proper accounts in the accounting system.
  • Follow up on past-due invoices to make payment arrangements.
  • Track employee time sheets, where applicable, to be entered into the payroll system.
  • Receive and reconcile employee expense reimbursement reports, noting proper manager approval.
  • Remote deposit checks received from constituents and other sources.
  • Reconcile the monthly bank statements and investigate any discrepancies.
  • Reconcile other cash and investment accounts and investigate any discrepancies
  • Reconcile credit card expense reports and review for proper supporting documentation.
  • Maintain audit trail of journal entry for bank deposits, credit card payment in the accounting system and in SharePoint.
  • Enter daily, weekly or month end journal entries prepared by Accountant or Consultant.
  • Maintain paper and electronic files, and opening and sorting mail pertaining to the accounting department.
  • Assist in preparation of annual tax filings of 1099s and 1098-T’s
  • Assist in preparing audit schedules and provide supporting documentation for year-end audit.

Experience and Qualifications

  • Associate's Degree in Accounting or equivalent experience required
  • Experience with QuickBooks and Microsoft Excel required; intermediate to advanced level
  • Strong knowledge of Office, including Word, PowerPoint and Outlook preferred
  • Demonstrated ability to maintain confidentiality of information, exercise good judgment and discretion in handling information
  • Must be able to work through deadlines and be dependable
  • Accuracy and timeliness a must
  • Possess problem solving, attention to detail, and analytical skills
